IMMEDIATE OPENINGs for a business professional/legal assistant and PROBATE PARALEGAL

We are seeking an experienced Business Professional to join our firm as a Legal Assistant in the Cedar Rapids office. In this role, the ideal candidate will use their skillset to support our attorneys in the Estate Planning Practice Group. This candidate must possess strong multitasking abilities, exceptional attention to detail and excellent communication skills. This position requires a proactive individual who can thrive in a collaborative team environment as well as individual based projects while efficiently managing various tasks related to billing, case management, client communication, calendaring appointments, and document preparation. 

Key Responsibilities:

  •  Serve as a Legal Assistant for multiple attorneys who specialize in estate planning, trust, wills and probate matters.
  • Oversee case management activities, including maintaining case files, saving digital files into the firm’s database, tracking deadlines, and coordinating schedules.
  • Facilitate client communication, including answering phone calls, scheduling appointments, and maintaining client databases.
  • Prepare and file legal documents with courts, ensuring compliance with all relevant regulations and procedures.
  • Assist in the preparation of estate plans, trusts, wills, and other legal documents, following attorney instructions and guidelines.
  • Conduct transcription of meetings, dictations, and legal documents with precision and confidentiality.
  • Responsible for accurately entering billable hours and expenses for attorneys.
  • Work with our billing department to process invoices for assigned attorneys, including tracking payments, and ensuring accuracy in financial transactions.

Qualifications:

  • Bachelor's degree preferred or a minimum of 5-years serving in a business professional role.
  • Proven experience as an Executive Assistant or Administrative Assistant, preferably in a legal setting.
  • Proficiency in Microsoft Office Suite and Adobe Acrobat.
  • Experience working with legal software is preferred.
  • Must maintain confidentiality and handle sensitive information with discretion.
  • Experience with billing processes and legal document preparation is highly desirable.

We also have an immediate opening for a full-time Paralegal located in our Cedar Rapids office. This position requires excellent written and oral communication skills as well as strong proficiency with Microsoft Office and Adobe products.

Responsibilities include, but are not limited to:

  • Document drafting and editing
  • Court filings
  • Following Iowa standards for probate matters
  • Conducting legal research
  • Managing client files and matters
  • Client interaction

We are looking for a client-focused individual with careful attention to detail, excellent organizational skills and the ability to learn complex legal strategies. Knowledge of accounting, finances and/or probate is a plus.
